These Terms & Conditions apply to every person registering as a participant to the DHIS2 Annual Conference.
Annual Conference Registration
Only fully completed registration forms will be considered. After reviewing each registration, the conference Organizers will send confirmation/information emails. These emails will include all the details related to your participation and the payment of your registration fees. Participation is not guaranteed until full payment of the registration fees is received. Each event has a ceiling number for participation, and the Organizers reserve the right to refuse additional registrations and to close the registration form should the maximum capacity be reached.
Methods of Payment
Payments must be made in advance, before the Annual Conference begins.The preferred payment method is credit card via the University of Oslo's payment platform, ePay. A link to ePay will be available in your account on the DAC2026 website once you have completed your registration. Please note that American Express, American MasterCard, Diners Club, and some American corporate VISA cards cannot be processed through ePay. If you are unable to pay via ePay, you may choose to pay by bank transfer. An invoice with bank transfer details will be available in your DAC2026 account after you have registered.We are unfortunately unable to accept cash payments.
Early-Bird Discount
A discount to the standard registration fee is available to participants who register and pay for their tickets by midnight CET on 20 March 2026. Participants who register for this discounted rate but do not pay by the deadline will be converted to the standard ticket rate.
LMIC Participant Rate
This year, we are happy to offer a discounted registration fee for participants joining us from low- and middle-income countries (LMICs). This fee applies to both the DHIS2 Annual Conference and the Climate & Health Academy, and is intended to make these events more accessible to DHIS2 community members with limited resources. Organizations and individuals with sufficient financial means (including those based in LMICs) are kindly invited to pay the standard fee.
Event Collateral
The Organizers cannot guarantee that collateral will be available for late registrants. All materials will be distributed on site.
Cancellation Policy
Cancellations must be submitted in writing via email to oslo2026@dhis2.org. The deadline for cancellation is 12 June 2026. The date of the email will determine eligibility for a refund. Refunds will be processed after the conference has ended.
Cancellation of the Annual Conference
In case the event cannot be held or is postponed due to events beyond the control of the Organizers, the Organizers cannot be held liable by participants for any damages, costs such as transportation, accommodation, and other expenses incurred by the participants. All expenses related to the Conference, the registration, and the attendance are the sole responsibility of the participants. Under these circumstances, the Organizers reserve the right to reimburse the participant after deducting costs already incurred for the bank transfers.
Insurance
The registration fee does not include insurance. The Organizers do NOT provide any form of insurance and do not take any responsibility for accidents or illnesses that might occur during the DHIS2 Academy and in the course of travel to or from the Academy place. Therefore, each participant is solely responsible for his/her safety, security and health. Moreover, participants shall be aware of their health insurance policy and take appropriate measures to ensure their coverage for any hazards which might occur while attending the DHIS2 Annual Conference.
Modification of the Program and Venue Change
The Academy Organizers reserve the right to amend the Annual Conference program, including making changes to the speakers/facilitators appearing and/or subjects covered. No refunds can be granted in case of cancellation of speakers/facilitators, program change or any other incidents during the Annual Conference which are beyond the control of the Organizers. The Organizers reserve the right to move the Conference to a larger or smaller venue, if the level of participant registrations warrants.
Name Badge
The name badge must be worn at all times during the Annual Conference. Access to the venue will not be granted without the DHIS2 name badge.
Invitation Letter
A letter confirming your registration for the Annual Conference can be downloaded from your DAC2026 account once your registration is complete.
Visas
It is the sole responsibility of the participant to take care of his/her visa requirements. Participant who require an entry visa must allow sufficient time for the application procedure.
Data Protection
The Organizers will collect and store data for the preparation, the execution of the event and after the event for marketing purposes. The HISP Centre performs monthly e-mailings (which include photographs/videos) and/or communications on social media regarding DHIS2 Academies and events. If you do not wish to appear in the marketing visuals, please send an email to oslo2025@dhis2.org.
Email contact details of participants will not be passed on to third parties. Participants may unsubscribe from these mailing campaigns at any time. Dryfta, the Annual Conference platform, is GDPR compliant. More detailed information on Dryfta privacy policy is available here.
Limitation of Liability
The participant agrees to be responsible for all property he or she brings to the Annual Conference venue.
